How to use Hours Calculator

The row of buttons switches between one day, several punches on one day, a whole period, period with pay, and the printable sheet.

Questions

Frequently asked questions

Where are the week and the pay fields?

On the row of buttons above the times. 'A whole period' opens the seven-day grid, 'Period and pay' adds an hourly rate and an overtime multiplier, and 'Printable sheet' lays the same grid out for paper.

How does payroll rounding work?

Each punch moves to the nearest mark, not the day's total. On quarter hours, clocking out at 9:07 counts as 9:00 and 9:08 counts as 9:15. Rounding only downwards is not offered, because it would shave paid minutes off every shift.

Does it handle shifts that cross midnight?

Yes. A start of 22:00 and an end of 06:00 is counted as eight hours, not minus sixteen.

Can I do a two-week pay period?

Yes. Set the pay period to two weeks and the grid grows to fourteen days. Overtime is still worked out one week at a time, so 45 hours then 35 is five hours of overtime, not none.

Can I print the sheet or save it as a PDF?

Yes. Fill in a period and press Print. The employee, company and period lines you typed print above the grid, with signature lines below, and your browser's Save as PDF makes it a file.

Is anything I type sent anywhere?

No. Your hours, your rate and your employer's name are worked out on this page and never leave it. Close the tab and they are gone.

Background

Rounding, Overtime and What a Payroll Sheet Needs

Start with one day, then switch the panel to several punches, a whole week or fortnight, or the printable sheet. What you typed follows. Breaks come off, overtime splits out, and an hourly rate gives gross pay.

  • Payroll rounding is a rule about punches, not about the day's total. The regulation that allows it also forbids a rule that only ever rounds down.
  • Overtime is a weekly test even on a fortnightly sheet, so each week is scored on its own before the two are added together.

Specification of the Hours Calculator tool
Input formatsStart and end times in HH:MM, break minutes, an hourly rate, and an overtime threshold you set yourself.
Output formatsHours and minutes, decimal hours to 2 or 4 places, regular and overtime split out, and gross pay.
Payroll roundingEach punch moves to the nearest 5, 6 or 15 minutes, or stays exact. Rounding only downwards is not offered.
Pay periodOne week or two. A fortnight is scored one week at a time, so overtime stays a weekly test.
PrintingThe grid prints on its own, with employee, company and period above it and two signature lines below.
BatchUp to fourteen days at once, each with two clock-in and clock-out pairs.
Order of operationsPunches are rounded first, then subtracted, then the break comes off. Rounding before the subtraction changes the total.
Week layoutA week starts on Monday. Choose a fortnight and each row is tagged week 1 or week 2 so the two are never confused.
Rows and clearingAdd as many rows as you need; there is no cap. Clear all empties the sheet in one go rather than row by row.
